What to put on an auto repair invoice

A good repair invoice answers every question a customer (or their insurance company) might ask later. At minimum, include:

How shops usually price the lines

Labor is normally billed as book hours times your posted labor rate, not the clock time the job really took. Parts are marked up from cost — often on a sliding scale where cheap parts carry a higher percentage. If you're not sure your numbers cover your costs, run them through the labor rate calculator and the parts markup calculator.

Shop supplies (rags, cleaners, small hardware) are commonly charged as a small percentage of labor with a cap. Show it as its own line so it doesn't look hidden.

Estimate first, invoice last

Many states require a written estimate and the customer's OK before work starts. Use the auto repair estimate template for that, then turn the approved lines into the invoice when the car is ready.

Questions

Is this auto repair invoice template really free?+

Yes. Fill it in, print it or save it as a PDF as many times as you like. There's no sign-up and nothing is watermarked.

How do I save the invoice as a PDF?+

Click Print / Save as PDF, then choose “Save as PDF” as the printer. On a phone, use Share → Print → pinch out on the preview to save it.

Should labor and parts be listed separately on a mechanic invoice?+

Yes. Most states expect labor and parts to be itemized, and some (California, for example) require it on every repair invoice. List hours and rate for labor, and a description and price for each part.

Do I charge sales tax on labor?+

It depends on your state. Many states tax parts but not repair labor; a few tax both. Check with your state's revenue department and use the “Tax labor too” box if it applies.
